Management by spreadsheet - The challenge

Does your company depend upon an ever growing collection of spreadsheets?

Has organizing and tracking these spreadsheets become a critical business issue?

   •  The XLarent solution

XLarent stores your spreadsheets in a secure, online library.
The spreadsheets may be accessed from any location through a standard web browser.

XLarent does not require you to make modifications to your existing spreadsheets.

As each spreadsheet is loaded into XLarent, important data is extracted and stored in a relational database. The extracted data is used to organize the library contents and to display information on web pages and reports.

XLarent addresses the drawbacks of using spreadsheets while retaining the benefits.

When you are ready, please visit the XLarent demo web site.

   •  XLarent addresses the drawbacks of using spreadsheets:

Spreadsheets are difficult to organize and track.
Xlarent extracts data as each spreadsheet is loaded. This information is used to classify the file.

Two Users may unknowingly copy and edit the same version of a spreadsheet.
An XLarent user is able to mark a spreadsheet as “checked out” while making modifications. This ensures that other users do not edit an incorrect version by mistake.

Users may be unsure which spreadsheet file is the “current” version.
Using XLarent, a user “checks in” a spreadsheet. The current version is apparent. (As an additional benefit, the system retains previous spreadsheet versions.)

Work is often coordinated by sending around spreadsheets by email.
An XLarent user is able to view the current status of all spreadsheets. They can download the correct spreadsheet directly from the library.

Creating a portfolio report from multiple spreadsheets is difficult if not impossible.
XLarent pulls information from each spreadsheet as it is loaded. This information can be used to produce a portfolio-wide report.

   •  XLarent retains the advantages of using spreadsheets:

Spreadsheets are flexible; they are easily modified or extended.
Xlarent allows you to continue to modify the design of your spreadsheets.
This can be especially important as your business process continues to be developed.

The mechanics of using a spreadsheet are well understood by users.
The standard version of Excel is used to edit the spreadsheets. When ready, the user simply loads the file back into the online library.

Users can work with spreadsheets while “offline”, disconnected from a network.
Web applications can require that users be connected at all times. An Xlarent user may download a spreadsheet to work on while disconnected, i.e. when on a plane or while visiting a client

   •  Additional functionality available in the XLarent system

The Tickler system

The XLarent system has been designed to include a “tickler” function. Events and Activities recorded in a spreadsheet can be extracted and may give rise to notifications. An email status update can be sent to interested parties, communicating that an activity is about to occur or is due.

A priority can be assigned to highlight those events that are overdue or that require immediate action.

Document Management

The XLarent system can store and organize other file types. The strength of the system lies in its ability to automatically extract data from spreadsheet files. However, it is possible to store other documents and relate them to the spreadsheet files.
